Job Description:

Administrative Assistant / Design Assistant to support the Administrative team. Additionally, there will be the opportunity to get involved in assisting discipline leads with various administrative initiatives, mostly focused on designing and producing presentations, reports, posters etc. for digital and printed use, both internally and externally.

We are seeking to employ a team player, who is confident and enthusiastic. This individual must have great attention to detail and communication skills to work in a dynamic design office.

Design duties, but not limited to:

  • Understanding and interpreting briefs and mark-ups from architects, engineers, etc. and convert to attractive, readable illustrations / graphics / infographics / charts, both freehand, and digital
    • Creating and managing materials such as presentations, reports and other project related documentation
    • Document design abilities with a keen eye for layout, typography, branding, proportion and content appropriateness
    • Sticking to brand aesthetic, with strong attention to detail
  • Preparing documentation needed for winning project tendering bids

 

Administrative duties, but not limited to:

  • Coordinating and organising diaries for senior management of the architectural team including, booking rooms, contacting clients, arranging interviews
  • Providing assistance and support to the Senior Administration team

 

Facilities/Reception Support Duties includes, but not limited to:

  • Supporting Reception desk with lunchtime and temporary cover;
    • Assisting with answering calls in a professional and timely manner, forwarding to the correct extension and / or taking detailed messages
    • Assisting with meeting and greeting visitors - issuing visitor passes and offering refreshments
  • Supporting Facilities with temporary cover;
    • Assisting with managing internal office moves
  • Assisting with the smooth running of the office and its maintenance daily
    • Liaising with third parties, including the landlord, building management, cleaning company, alarm company, stationery company…etc.

Relevant Skills

  • Previous experience is favourable
  • Working knowledge of Microsoft Outlook, Word and Excel is essential
  • Intermediate experience in design related software tools, such as Adobe Creative Suite (with a focus on InDesign)
  • Excellent written English skills

Employment Term

  • Salary, competitive, dependant on experience
  • Minimum length of contract – 6 Months
  • 25 days annual holiday allowance
